Anchorix is a South African sole proprietorship providing booking, scheduling, and invoicing software to appointment-based businesses. For the information described in section 2, Anchorix is the responsible party under the Protection of Personal Information Act (POPIA). Anchorix's Information Officer can be reached through the contact route published with our PAIA manual.
Enquiries. If you fill in the contact form on this site, we collect your name, email address, business name, trade, and whatever you write in the message field. We use it to respond to your enquiry and to set up an account if you decide to proceed. Supplying it is voluntary; we can't respond to an enquiry without at least a name and email address.
Account records. If you become a customer, we hold your business name, your name as account owner, your email address, and billing records. We use these to operate your account, bill you, and contact you about the service.
We don't buy personal information from third parties, and we don't use your information for advertising.
Your information is stored in South Africa, on Amazon Web Services infrastructure in the Africa (Cape Town) region, encrypted at rest and in transit.
No payment processor is involved at all. Your subscription is paid by EFT, straight into our bank account, and your account is marked paid once the transfer lands. Card payment is not offered to South African businesses, so there is no card processor holding your billing details and nothing about paying us leaves the country.
We don't sell your information, and we don't share it with anyone else except where the law requires it.
When a business uses Anchorix to store information about its own customers or patients, that business is the responsible party for it and Anchorix is only the operator. We store and safeguard it on their instructions and don't use it for our own purposes.
Anchorix's own staff cannot read those records. Nobody at Anchorix can open a business's client list, appointments, notes or documents through the system, and nobody at Anchorix can sign in to a business's account — unless that business creates a login for them, which it can withdraw at any time.
This is why a question about your own information has to go to the business that holds it. It is not a matter of policy or of us declining to help — we are not able to look.
If you're a customer or patient of a business that uses Anchorix and you want to know what's held about you, or want it corrected or deleted, contact that business directly — they decide, not us. Their own privacy notice is linked from their booking site. Our obligations as operator are set out in our Terms of Service.
When a business stops using Anchorix, it can download everything it stored, and 30 days after its account closes we permanently delete all of it — POPIA does not let us keep information about you once the business that collected it is no longer our customer. Questions about what the business did with its copy belong with the business.
Enquiries that don't become accounts are kept while they're still commercially relevant and then deleted. Account records are kept for as long as you're a customer, and afterwards for as long as tax law requires us to.
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it where we're not legally required to keep it. You can also object to us processing it. Contact our Information Officer using the route above.
If you're not satisfied with how we've handled your information, you can complain to the Information Regulator of South Africa at inforegulator.org.za.
